Data Privacy Statement
Thank you very much for your interest in BluePlanet. BluePlanet supports the efficient collaboration and effective exchange of knowledge between employees and within teams and is available worldwide to employees[1] in all roles and countries.
At this point, we would like to inform you how Beiersdorf handles your personal data when using BluePlanet and the extent to which you are providing your personal data to other employees when using BluePlanet.
1. Subject of the Privacy Policy
The subject of the privacy policy is personal data. Personal data are information about an identified or identifiable natural person (e.g., name). Identifiability exists if a natural person can be identified directly by name or indirectly through other characteristics (e.g., user ID). Even photographs of a natural person are personal data.
2. Collection, Processing, and Use of Personal Data
As a matter of principle, Beiersdorf collects, processes, and uses your personal data only to the extent to which it is required for the use of BluePlanet in the global corporation.
3. Activities on BluePlanet
Below are described the activities on BluePlanet in which personal data are processed:
3.1 Employee Profile on the Homepage
When opening BluePlanet, you will always start at a homepage (also known as "My BluePlanet").
You can edit your employee profile on the BluePlanet homepage. The "Standard Profile Information" contains important business contact information.
Editing your extended employee profile is optional. You can optionally upload an image and additional information about yourself to your extended employee profile. An uploaded image will be transferred to the Active Directory and will thus be depicted in other Beiersdorf applications as well (including Microsoft Office and Business Portal, among others). The employees can change or delete their image as well as personal information in their profile at any time, thereby removing them from BluePlanet (as well as the Active Directory and Office applications). Exclusively for Lync, there is an option whereby employees can turn off the display of their image in Lync.
The following personal data are processed here:

In connection with the profile information, the following personal data are processed:

3.2 Posts
You can write posts either on your personal homepage ("My Stream") publicly or on department, project, knowledge or community sites ("Site Stream") to the employees with authorized access. Here, you can also view posts from other employees. When necessary, posts can be addressed to individual persons via the "@" function. However, they are visible to all employees in "My Stream" or "Site Stream" who follow the individual employee, who are permitted on the respective site, and who follow the document or the hashtags used in the post.
In connection with the posts, the following personal data are processed:

3.3 Following
You can follow other employees, sites, documents, and hashtags on BluePlanet ("following"). Correspondingly, other employees can follow you on BluePlanet. Please note that you do not have the option to limit your circle of followers on BluePlanet. You cannot view the circle of employees who follow you. You can display the circle of employees that you follow.
In connection with "following," the following personal data are processed:
• Account name, date, time, specific activity, and content
3.4 Content Ratings, Likes, and Comments
You can rate documents on knowledge sites by awarding them one to five stars ("rating"). For faster orientation in large lists of documents, all users can see whether a document was rated, what the average rating of the document is, and how many ratings the average is based on. These ratings are visible for all employees that are authorized to view these knowledge sites.
You can "like" a post by clicking the like button. You can also comment on posts. Likes and comments on posts in Site Stream can be viewed by all employees that are authorized to view this site. Likes and comments on posts in My Stream can be viewed by all employees that follow you (see 3.3).
In connection with ratings, likes, and comments, the following personal data are processed:

4. Mobile Use
When accessing BluePlanet using mobile devices via VPN, the personal profile data of all users can be viewed. If you would prefer for your data not to be used on mobile devices but would like to use the BluePlanet collaboration platform, you have the option of removing your personal information from your profile (see "Employee Profile on Homepage").
5. System Administrators and Moderators
System administrators (without knowledge of the content) and moderators have complete access to department, project, knowledge, or community sites and all other BluePlanet content, such as posts. Moderators can delete objectionable content. In consultation with the responsible parties, system administrators and moderators can delete an entire department, project, knowledge, or community site or other BluePlanet content. Moderators may forward objectionable content to employers and the works council.
6. Global Transfer of Personal Data
Please note that Beiersdorf provides BluePlanet for its employees throughout the world. Even Beiersdorf employees in countries that do not have an adequate level of Data Privacy from a German and/or European perspective can access all content uploaded to BluePlanet. This also applies to processed personal data uploaded to the employee profile and in the scope of "following."
7. Data Storage
All personal data that you enter into BluePlanet are stored on servers in the secured computer centers of Beiersdorf Shared Services GmbH (BSS) in Hamburg, Germany. Your personal data are prepared and correspondingly protected in the event of a disaster through backup systems.
8. Cookies and Analyses
BluePlanet uses cookies. Cookies are small text files that are stored by your browser on your computer's hard drive. The cookies used by us do not store any personal data, thus it is not possible for them to be used to identify you personally. Cookies save you from having to repeatedly enter data, facilitate the transfer of specific content, and help us in identifying particularly popular areas on BluePlanet. Among other things, this enables us to adapt BluePlanet content precisely to the needs of employees and improve the efficient collaboration and effective exchange of knowledge. The IP address that is transmitted by your computer for technical reasons is automatically anonymized and does not enable us to deduce your identity. If you would like, you can refuse the use of cookies at any time by adjusting your browser's settings. Please use your browser's help menu to learn how to adjust these settings. However, if cookies that are relevant for functionality are refused, the functionality of BluePlanet may be limited since certain functions are only available if and to the extent that the usage of cookies that are relevant to functionality is accepted.
You can freely choose whether to accept or reject cookies by adjusting your browser's settings. You can learn the details of how this works in your browser's operating instructions. We conduct analyses on BluePlanet. BluePlanet automatically creates anonymized usage statistics in order to measure the acceptance and usage of BluePlanet and delete unused sites as needed. Usage statistics are created via your IP address. Your IP address is automatically anonymized by shortening and can only be obtained in full in exceptional cases to detect abuse.
9. Deleting and Correcting Content
You can correct and delete all images and information that you voluntarily upload to your employee profile. In addition, your employee profile will be deleted if you are no longer employed with us. If you have written posts yourself, you can always delete these again. In addition, Beiersdorf retains the right to delete objectionable posts and content that has not been accessed for an extended period of time, such as department, project, knowledge, or community sites. All posts in My Stream are retained for 12 months and subsequently deleted. The posts in Site Stream are retained for 24 months and subsequently deleted.
10. Changes to this Privacy Policy
From time to time, we will update this privacy policy to protect your personal data. You should view this privacy policy occasionally to stay informed about how we protect your data. If we make major changes to the privacy policy, we will inform you about these separately.
